Scope
The scope of this Privacy Notice concerns all data subjects whose personal data is processed, in line with the requirements of the GDPR 679/2016 of European Parliament.
Responsibilities
The Cultural Association “Copiii Soarelui” (“The Association”) as Data Controller is responsible for ensuring that this Privacy Notice is made available to data subjects prior to the Association collecting and processing their personal data.
All volunteers of the Association who interact with data subjects are responsible for ensuring that this Notice is drawn to the data subject’s attention and their consent to the processing of their data is secured.
Who are we?
The Association teaches Vipassana meditation as a way of experiencing peace of mind and a positive approach to life.
The Association provides opportunities for people from all religious and cultural backgrounds to explore their own spirituality and learn skills of Vipassana meditation, which will help develop inner calm, clear thinking and personal well-being.
The personal data we collect and process are personal information and special category data, both being obtained directly from the data subject.
The personal data we collect will be used for one or more of the following purposes:
- to organize events such as: seminars / courses / talks
- to keep data subjects up to date with information about events (via newsletters)
- to comply with legal obligations of the Data Controller such as: health and safety regulations / financial regulations / immigration laws / child protection laws / requirements regarding wills and charitable legacies
- to enable travel coordination
- purposes regarding Information Technology Management
- for marketing purposes
- to manage Volunteers
Our legal basis for processing personal data, is at least one of the following:
- processing is necessary to comply with legal obligations of the Data Controller
- data subject gives consent for one or more specific purposes
- processing is necessary to protect the vital interests of the data subject
- special protection is in place for personal data related to children and vulnerable adults
The special category of personal data is the health (to accommodate for guests / participants with special needs, diet requirements or other health information processed in the vital interest of the data subject).
Consent
By consenting to this Privacy Notice you are giving us permission to process your personal data and special category data specifically for the purposes as identified above.
You may withdraw the consent at any time by notifying the Association via email contact@meditatie.ro.
Disclosure
The Association will not pass on your personal data to third parties or transfer personal data to affiliate organizations in third countries and/or EU countries.
Retention period
The Association will process personal data for as long as strictly needed as per the GDPR requirements and will store the personal data in line with the Association Retention of Records Policy.
Your rights as a data subject
At any point while we are in possession of or processing your personal data, you, the data subject, have the following rights:
- Right of access – you have the right to request a copy of the information that we hold about you.
- Right of rectification – you have a right to correct data that we hold about you that is inaccurate or incomplete.
- Right to be forgotten – in certain circumstances you can ask for the data we hold about you to be erased from our records.
- Right to restriction of processing – where certain conditions apply, you have the right to restrict the processing.
- Right of portability – you have the right to request the data we hold about you transferred to another organization.
- Right to object – you have the right to object to certain types of processing such as direct marketing.
- Right to object to automated processing, including profiling.
- Right to judicial review: in the event that the Association refuses your request under rights of access, we will provide you with a reason as to why. You have the right to complain as outlined in the next clause below.
Complaints
In the event that you wish to make a complaint about how your personal data is being processed by the Association as described in the clause above, or how your complaint has been handled, you have the right to lodge a complaint directly with the supervisory authority and the Association.

Personal data
Under the EU’s General Data Protection Regulation (GDPR) personal data is defined as “any information relating to an identified or identifiable natural person (‘data subject’); an identifiable natural person is one who can be identified, directly or indirectly, in particular by reference to an identifier such as a name, an identification number, location data, an online identifier or to one or more factors specific to the physical, physiological, genetic, mental, economic, cultural or social identity of that natural person”.
How we use your information
This privacy notice tells you how we, the Association, will collect and use your personal data to invite you to events, retreats or public talks, to comply with legal requirements of the Data Controller, such as insurance purposes, health and safety regulations, financial regulations, immigration laws, child protection laws etc.
Why does the Association need to collect and store personal data?
In order for us to provide you with information about public events, retreats, or to host you as a guest to our Center, or in line with legal requirements we need to collect personal data. In any event, we are committed to ensuring that the information we collect and use is appropriate for this purpose, and does not constitute an invasion of your privacy.
In terms of being contacted for marketing purposes the Association will contact you for additional consent.
Will the Association share my personal data with anyone else?
We will not pass your personal data on to any third-party.
How will the Association use the personal data it collects about me?
The Association will process (collect, store and use) the information you provide in a manner compatible with the EU’s General Data Protection Regulations. We will endeavor to keep your information accurate and up to date, and not keep it for longer than strictly needed.
The Association is required to retain information in accordance with the law, such as information needed for income tax and audit purposes. How long certain kinds of personal data should be kept may also be governed by specific business-sector requirements and agreed practices. Personal data may be held in addition to these periods depending on individual business needs.
Under what circumstances will the Association contact me?
Our aim is not to be intrusive, and we undertake not to ask irrelevant or unnecessary questions. Moreover, the information you provide will be subject to rigorous measures and procedures to minimize the risk of unauthorized access or disclosure.
Can I find out the personal data that the Association holds about me?
The Association, at your request, can confirm which information we hold about you and how it is processed. If the Association does hold personal data about you, you can submit a request for access to personal data in line with the General Data Protection Regulations.
What forms of ID will I need to provide in order to access this?
When information on your personal data is requested, the Association requires one of the following or a combination of the following IDs: any ID which has a valid and recent photograph / address details /passport, driving licence.
